Well, i counted only the definates on all the websites I posted in and all the pm's I recieved and so far I have counted 90 definates. That's not including the people that said they would go if it's a good turn out.

So far so good. I'll keep you all posted. I'm still working on a set price and then the set date.

VERY IMPORTANT !!!

Ok guys, I really need to get a list of all that want to attend and all that are maybes for what ever reason.
Like I mentioned before, I am working on setting a price for this and so to do that, I need as many people to show on a list so that i can present it to the staff at Beaverun.

A couple of days ago I counted every person that wanted to attend in every website that i posted and counted 90 people with the exception of the "maybes" . So I know there are people interested. i just need some more details.

For this, I need EVERY person whether it's a definate or maybe to PM me so that I can create a single list. I really want this do be done ASAP. So, as soon as you have the opportunity please PM me as follows:

1. Definately interested:
2. Maybe:
3. Your screen name:
4. What car you drive:
5. Location: (Just to have an idea how far people are traveling)

As soon as I have this info. I will present it and will update all of you on all details. I will also post the list so that everybody can see where we stand with attendees.

how about setting a definate date then working from there? if you are trying to cater to over 90 people what date works best, you will never find one, IMO when setting an event you just need to set the date so everyone knows before you can even get a definate, i cant give you any kind of an answer w/o a date.

Hmmmmm, i got the most hassle from the price. I got a bunch of Pms about how much it is and so I figured that the price should be set first and once everyone is ok with that then I was going to take a poll on the date.
If I set a date but nobody agrees with the price then it's not worth the time taken to set the date.

I'm just saying, It's alot easier for people to say yes or no to a difinitive date, and yea, price as well... IMO you should probably get in direct contact with Beaver Run and get the lot rental price. If you plan on racing you need to see if the site has its own insurance carrier, if that insurance is included, and if not then contact your insurance carrier to find out how much the insurace will be to run your event, then you can come back with a definate price. for the small autocross events I run we have our own insurance carrier and its a little over 270 per event just for the insurance. our lot rental is $500 for 1 day... which i guarantee BR is more expensive than where we run. we get about 30 drivers at an event on average so if we didnt have the funding that we do it would be about $25-$26 per driver at our events. I know SCCA does larger scale events at places similar to Beaver Run and they can cost between $2,000 and $5,000 for lot rental (i am not sure if that includes their insurance or not) for a day event.

Alright, Let me get in contact with Beaverun and see if i can set a date with them and continue to work on the prices. Give me some time as i try resolve this.

Anymore ideas or suggestions are very welcomed !!!

UPDATE

I have a date for the event.

There is July 1st BUT... that might not be a good day because of the 4th of July Holiday and people might already have plans for that time.

The ONLY other day that Beaverun has for an event like this is Saturday August 12.
Other than that, there is nothing else. It gives us time to plan and save for this.

Sooooo, What do you guys think? August 12th ?

that might actually be pretty cool because August 13th they have a Steel City Region event at BeaveRun, so that would be a killer 2 day event.

BTW... on the subject, if you are going to do an autocross do you have cones available? obviously a fairly nitpicky detail but something that needs to be thought of none-the-less? 18" cones cost like 10-15 bucks per... we spent over $2,000 to buy our new cones after another club lost our old ones, you are going to need ATLEAST 150 cones to run a pretty small course...
